Job description

 As our new HR Administrator you will focus on all admin and Recruitment support tasks in the fields of onboarding, producing offer letters/contracts, system data input, payroll & all other ad-hoc tasks for the growing Polish organization.

 

Your Key Responsibilities include but are not limited to:

  • Supporting the activities of the HR function and ensure that all HR administration is conducted accurately and in a timely, efficient manner, for example:

  • Issuing offer letters and contracts

  • Checking, sending and tracking of all references/requests, criminal record checks, work certificates, payroll forms etc.

  • Checking and chasing expired documents such as passports, visas, training qualifications etc.

  • Updating and maintaining current personnel information the HR system, including new starters, changes and leavers

  • Maintaining electronic personnel files, including scanning and shredding HR documents in accordance with General Data Protection Regulations

  • Supporting payroll and liaising with external payroll provider to ensure employees are paid correctly at all times

  • Supporting the recruitment & onboarding process for all new employees

  • Taking notes for meetings as required (including investigation, disciplinary, grievance & appeal meetings, as well as general departmental meetings)

  • Updating and or issuing HR policies ensuring they are compliant with employment law

  • Any other duties as and when required, including Involvement in HR Projects

Job requirements

Key Skills & Experience:

  • English and German language skills – proficient

  • Around 3 years relevant experience in a HR role

  • Ability to provide a professional approach ensuring confidentiality is maintained at all times

  • MS Office and HR system experience

  • Office administration experience

  • Good working knowledge of HR processes and local laws & regulations

  • Clear communication skills – spoken and written

  • Excellent time-keeping and organisational skills

  • High attention to detail with a strong emphasis on accuracy

  • Able to work independently and unsupervised if necessary

  • Can work under pressure with the ability to meet strict deadlines

  • Ability to build relationships with key stakeholders
