Job description

The Role
As an enthusiastic and detail-oriented QHSE & Sales Support Administrator you will support our Sales & Operations teams and ensure smooth coordination of health, safety, supplier and sales processes. This role involves managing QHSE documentation and training schedules, coordinating CAE documentation and sales administrative tasks.
What would be your responsibilities and duties?
Quality, Health, Safety & Environment (QHSE)
Coordinate and schedule medical check-ups and occupational health screenings for employees.
Organise and track mandatory QHSE training for all staff (e.g., safety inductions, fire drills, equipment handling).
Manage ISO documentation.
Maintain and update health and safety documentation in compliance with legal requirements.
Manage PPE (personal protective equipment) inventory and distribution.
Handle incident and accident reporting, follow-up, and documentation.
Ensure compliance with internal and external QHSE policies and regulations.
CAE Documentation
Collect and manage CAE documentation (e.g., risk assessments, insurance certificates, training records).
Upload and maintain documentation in CAE platforms.
Follow up with clients to ensure timely validations, updates and renewals of required documentation.
Coordinate the access to the construction site with the Logistics Planner.
Sales & Administrative Support
Manage emails, packages, phone calls and other forms of correspondence.
Manage company facilities and office administration, including the suppliers.
Keeping client information up to date in Salesforce.
Contacting customers by phone or email to answer queries and obtain missing information.
Supporting the sales department with other administrative tasks, if requested.

Formal qualifications
Education: Secondary vocational education with a minimum of 3 years of relevant work experience, providing excellent administrative support.
Network: Preferably, you have an existing network in construction, rental and/or security industry.
Technology skills:
Good knowledge of MS Office programs;
Preferably experience with CRM systems, such as Salesforce or Microsoft Dynamics
Language skills:
Native Spanish speaker,
Conversational) English skills for internal communication,
Driver’s license: Recommended to have a driving license
